125th Jubilee Committee Meeting 17 held Tuesday July 20th at 7pm
Present: Kevin Roigard, Deb Robinson, Barbara Smythe, David Graham, Michael Jeans, Dave Roigard, Kerryanne Walker, Shona McCulloch, Margaret Roigard, Betty Newcombe, Del Sinnott, Caroline Webbon, Vicki Webb, Carolyn Brakenrig, Grant Brunskill

Correspondence:
Outwards; Letter of thanks and receipt for Farmlands Hautapu.
Inwards; Letters from Fenwick and McAuley Families, wishing jubilee well and also including past memories ( McAuley nee Greenan past Karapiro pupils )

Finance: Income; $1194 registrations / payments
Expenses; $31.60 postage for registrations (Deb) $ 500 marquee deposit

Matters Arising:
Marquee; Dave R has given cheque for deposit to McEntee
Sponsors; Craig is still awaiting confirmation from a 3rd sponsor.
David Graham has been approached by Ben Hemi from Waipa District Promotions. He feels we may qualify for some funding. David & Kevin will meet with him on Friday.
Publicity: Caroline and Michael are working on an article and photo now we have sponsors on board.
David Soar has offered Harcourt’s advertising person to assist with wider publicity.
Name Tags; Del mentioned using neck lanyards for tags. Decided we leave it until after David has met with Ben Hemi.
Booklet / DVD; Michael is working frantically trying to collate info. Will very soon need help from people to sort through photos to select ones for use and also will need help with typing / editing etc. We would like photos of physical changes rather than just all people.
All members are asked to keep a watch on the web page for info.
Haka; Rugby coaches have this in hand.
Music; Barbara has contacted Gordon and Judy so they can organise music for the Sunday service and Judy also for the Friday night and Saturday. Barbara will confirm times with them closer to the time.
Singing; 2 schools will co-ordinate the songs for children to learn.
Merchandise; Minimum order is approx 100 of each item. David will order same and they will be sold on a first come basis.
Photos; David raised concerns of children being around for a long time before and after the opening lunch waiting for photos, so Michael will take current children’s photos on the Friday Sept 24th at the 2 schools.
Cheese; Kevin will visit Over the Moon in Putararu and Kaimai Cheese to see what is available / prices.

Time was then spent looking at programme to see where we could ask for assistance from current parents. Eg setting up and serving on the Friday night, setting up chairs for opening, assisting Michael with photos, helping with Saturday BBQ, setting up for Sunday service and helping with morning tea.
We will also be asking all families to provide muffins etc for Sunday morning.
