Karapiro, Whitehall, Taotaroa and Karapiro Hydro Schools’ 125th Jubilee Committee Meeting 8 Held Thursday December 3rd 2009.
Present: Kevin Roigard, Deb Robinson, Kerryanne Walker, Michael Jeans, David Graham, David Roigard, Betty Newcombe, Caroline Webbon, Vicky Webb, Barbara Smythe, Del Sinnott. Jeff Fletcher attended for a short time to discuss signs.

Minutes: October minutes were read.

Matters Arising: Jeff Fletcher had the first sign ready to go.
They will all be ready prior to Christmas, hopefully before school closes. 6 signs will be erected as 3 “ V “ shapes. One by the Karapiro School, one in Newcombe’s paddock and one on Kripner’s fence. David G will take 1 or 2 to the Cambridge Xmas Parade. Del will revisit the Vospers.
Music: The cost is still to be confirmed. Tim Santner was to e-mail the cost- $8oo max.
Letterhead: Michael has done a letterhead for Secretary and Treasurer.
Finance: Balance $1450 – $1200 grants, $200 Whitehall, $50 Roigard Registration
Registration forms will soon be ready to go out. Kevin asked that committee members pay their registration soon as we will begin to have expenses in the new year.
Costs: Discussion held about the charges for children attending the Saturday luncheon. Decided to have a ‘sausage sizzle’ running on the day for children and also any other people who arrive ‘unregistered’.

Photos: After discussion; Photos at Whitehall will be taken between 10 & 11.30 am. Timing then to be; Official Opening – 11.30 am , Luncheon – 12.30 pm, Local Photos following luncheon
Wine and Cheese: Whitehall to combine with Karapiro for food buying and preparing. This will ensure continuity in events and greater buying power. Kevin will check on pricing for wine and beer prior to next meeting.
Marquee: We will need to pay a deposit in March. David Roigard will check on how much and when. Lotteries Commission to be approached for a grant to help with cost. Justin Bertrand to be asked to help with application. Cost will cover dance floor, tables, chairs and toilets .
Names: We need to get updated lists. Michael has Whitehall up to 2000. Michael will help with doing up a registration form. David G had one from another school to look at.
Stage: Discussion around dropping the tennis court netting and borrowing a curtain sided truck. Then decided the deck by the school library would be ideal. Moved David R. 2nd Del
Greenery: Barbara will approach the Council and the Cambridge Tree Trust for plants.
Sponsors: A board will have to be made with a list of all our sponsors, to be displayed.
Jubilee cloth: Barbara now has the table cloth. It will need to have the new celebration added. Michael will look for a suitable table to have the cake on.
Speaker: Mike Kneebone’s name was put forward. Other thoughts?
Registration: Forms or e-mails will go to Barbara as Treasurer.
Souvenirs: After looking at catalogue again, the following was decided upon;
Wine / Beer glass $12, Coffee Mug $10, Pens $2 or $5
