125th Jubilee Committee Meeting.

Meeting 7 Held Thursday October 29th

Present: Kevin Roigard, Michael Jeans, Betty Newcombe, Barbara Smythe, David Graham, Caroline Webbon, Vicky Webb, Daniel Gibbs

Minutes: September minutes were taken as read.

Matters Arising:
Discussed signs. 3 options were presented ranging in price from $85 to $120 per sign (all ex GST). Moved that we offer the job to Daniel Gibbs
Moved Caroline 2nd Barbara Carried

Michael will email Ross and John to thank them for their quotes.
Michael will email a proof before the signs are made
Signs will be ready by December 1st and will be on the highway by the Christmas holidays.
Local builders will erect the signs.

Music: Kerryanne has booked the Smelly Rock Band (Tim Santner and local musicians). Price is to be confirmed. David and Caroline have heard the band and they are great. Kerryanne will confirm a playlist. Easier listening earlier on and louder later. Suggest that the band name be abbreviated to SRB or similar?

Letter head: Michael still in process
Photos: Michael has these under control.
Community Board Application: Was successful. $500 was granted. David to invoice the council n new letterhead.

Finance: Barbara has set up the bank account. Registrations can be paid by cheque or direct debit

Total funds to date $700 + $500 to come from council

There was a long discussion regarding costs.

Friday night wine and cheese
(Each school to organise their own)
Cheese to be donated.
Drinks – alcohol supplier to supply fridge, glasses etc…
Cost $15 per head
Complimentary drink on arrival
Will buildings be open if it is cold? Can hire heaters if necessary.

Security
All security to be at Karapiro School (7 pm Friday until 8 am Sunday) $1500 in total.

Saturday Lunch
$9.00 for catering ‘Painters Catering’ “Official opening and lunch”
Cost should be $15 – $20. Lunch opening and photos at this event.
People can buy their own drinks.

Photos
To be paid for separately. Michael will need a hand (both schools)

DVD Booklet
Costs to be worked out

Taking the above into consideration the final costs will be as follows…
Registration $25
Friday night wine and cheese $15
Lunch $20
Dinner and dance $50
Total (if all events attended) $110

Souvenirs, DVD-Book, photos, drinks will be extra.

General Business:

John Coles owns the property where the old hydro school was located. This can be available if necessary for the jubilee. He just needs some notice to clean it out.

We need another publicity story. Michael will photograph representatives of each school putting up the signs.

Next Meeting will be Dec 3rd .
