Karapiro, Whitehall , Taotaroa, and Karapiro Hydro Schools’ 125th Jubilee Committee Meeting.
Meeting 3 Held Thursday June 4th at Karapiro School.
Present: Kevin Roigard, Deb Robinson, David Graham, Jasmine Shen, Michael Jeans, Delwyn Sinnott, Betty Newcombe, Vicky Webb, Tony Rich and Grant Brunskill.
Apologies: Dave Roigard, Kerryanne Walker, Helen Taylor, Barbara Smythe, Shona McCulloch, Caroline Webbon, Lesley Sewell, Carolyn Brakenrig.

Welcome: Kevin thanks members for their attendance and welcomed Tony and Grant to the meeting.
Matters arising:
- Marquee; Del and Jasmine have looked into where we could possibly get funding for hireage. They will follow up Grant applications. David G has application for Rotary grant ready to be submitted.
Dave R has had further contact with McEntee hire and their quote has dropped by approx $4ooo. They are now quoting approx $5ooo which will include them erecting the marquee. - Music: Kerryanne has spoken to Paul Taranaki and is still waiting for a written quote. Verbally he is estimating between $2000 and $2500.
- Security: Kevin has made several contacts. Chub were too expensive to consider: the local firebrigade were unable to help: Cambridge Security could do 2 men for 66 hours at $30, totalling approx $2250. Kevin has since contacted Cambridge High School and St Peters to see if their rugby teams would be interested for about $1500.
- Hall: Parking would be for 37 cars. David has spoken to school neighbour and there will be space available.
- Lesley has spoken to Gordon Jellyman and providing he is in the country, he would happy officiate at the Sunday commemorative service.
- David G will contact Linda Bendikson from the Ministry. Michael will approach Louise Upston, our local MP.
- Vicky has spoken to Beth McVerry a local events organiser. She is happy to come along to our meetings to help with publicity.
- Sign writing: Kevin to contact Mr Fletcher to make signs for road frontages; Michael can help with designs: Graphix n Tints could be contacted re sign writing.
- Betty is happy to have a sign in their paddock. Suggested Margaret Vosper’s paddock also. Other locations, Leamington, nth of town? Vicky will contact council over use of sign outside Cambridge Store (Pink Church). We would like signs to be made and ready to have up by end of November ’08. In town signs would be put up closer to time.
- Souvenirs: List is endless of products, so we will keep to 2 types of glasses, mugs and pens.
- Photography: Michael will do a mock up for the next meeting.
- Website: Michael was thanked for his great input into the site. The site will be front of house information in the public domain. It can be updated and added to as often as required. Michael would appreciate any members contributing any info so he can include it. To date it has a planning page showing what we are doing, accommodation links etc. The site will include a programme for the celebration and photos of interest and anecdotes from the past. Vicky mentioned a photo of herself and Mr Todd at site of old Taotaoroa School, also the old Hydro School is presently on the Coles’ family property.
- Multiply: – Committee site. Jasmine has also put time into this site and urges all members to sign up. This would be a secure site only for members. It could contain minutes and other correspondence. Jasmine and Del have put together a spreadsheet showing a “Publicity to do list”.
Jasmine then talked us through the tasks which need attention and we assigned members to take responsibility for certain areas. - David G and Betty will get quotes for printing of pamphlets; Barry’s Newsletters / Cambridge Printers. We would need about 1000. Michael is happy to do design for pamphlets. We would like them ready by end of Nov; ready to publish early new year and “Out” by start of school year.
- Caroline Webbon has been nominated to contact newspapers.
- Barbara Smythe has been nominated to assist with fundraising. Looking into grant applications.
- Data entry: Michael has lots of his mother’s information from Whitehall. Helen Taylor and Grant Brunskill can assist with more Whitehall records etc. David G. will contact Archives to see if old registers etc can be accessed for the 2 closed schools. At the next meeting we will form a group of members who can spend time at school researching and collating information. This could be on a weekly basis initially.
