Karapiro, Whitehall, Taotaoroa and Karapiro Hydro Schools’ 125th Jubilee Committee Meeting

Thursday 2 April 1.00 pm Karapiro School Staffroom

Present: Barbara Smythe, Shona McCulloch, Delwyn Sinnott, Kerryanne Walker, Deb Robinson, Kevin Roigard, Vicky Webb, Caroline Webbon, Dave Roigard, David Graham.

Apologies: Jasmine Chen, Betty Newcombe

Welcome: David welcomed the committee and thanked everyone for their interest in helping to organise this important event.

Election of Officers:

The following officers were appointed…

Chairperson: Kevin Roigard

Secretary: Deb Robinson

Treasurer: Barbara Smythe.

Each school will have a registrations secretary to manage registrations associated with their school

Confirmation of Jubilee Date:

The date of the jubilee has been confirmed as Friday 24 September until Sunday 26 September 2010. This is the last weekend of Term 3.

Tentative Programme

Friday 24 September:

12.00 – 3.00 pm Schools Open

7.30 pm Mix and Mingle Whitehall at

Whitehall, other schools at Karapiro.

Saturday 25 September:

11.00 am Official opening

12.30 pm Lunch

2.00 pm Decade Photos

3.00 pm Choice of activities

5.00 pm Pre dinner drinks

7.00 pm Dinner in the marquee

At Karapiro

8.30 pm Dancing until late

Sunday 26 September:

10.30 am Commemorative Service

11.30 am Morning Tea and Farewell.

Suggested activities for Saturday afternoon.

Local Sights bus tour

Visits to Hobbiton

Kayak and Coffee at the Boatshed

Karapiro Dam open afternoon

Helicopter sight seeing rides.

THIS IS A TENTATIVE PROGRAMME ONLY WE ARE STILL LOOKING FOR NOVEL AND INTERESTING IDEAS!

General Business

Printing to be done in-house for programmes, registration packs etc…

All office holders to be cheque signaturees (Kevin, Deb, Barbara) Two required to sign

Each school to contribute $200 to establish account (will be reimbursed)

Officials to be asked to speak include Alan Livingston (Mayor) and Louise Upston (MP) BOT reps

Trusts to be approached for sponsorship once quotes are in.

The two local halls could be available for cheap dormitory style accommodation at perhaps $5 per night.

A cake is to be baked!!

Community to be asked to prepare morning and afternoon teas.

Registration pack to be prepared once prices are in.

Get quotes from caterers – Friday wine and cheese, Saturday Lunch and Dinner (Kevin)

Get quotes for the gazebo – Includes furniture, dance floor, lighting, toilets (Dave)

Organise the band for Saturday night. (Kerryanne)

Get Prices for souvenirs (David G).

Get quotes for photography – talk to Michael Jeans – Hot Shots (Caroline to liaise with Kerryanne)

Organise a bank account (Barbara)

Arrange Security (Kevin)

Check public liability insurance (David G)

Inform local motels and ask for discounted rates (Caroline)

Jot down any further ideas you may have ready for the next meeting. (EVERYONE)
